What ages are these movie nights best for?

Indoor Retreat packages that feature our signature-styled tents are best suited for children approximately ages 5-12.

We accommodate older children (teens) by swapping the tents for twin-sized mattresses for a more comfortable and age-appropriate setup. 

How many children can attend?

To ensure comfort, safety, and a calm experience, Indoor Retreat Night packages are intentionally limited: 

The Screening/Bestie/Duo: 2 children 

The Showing/Circle/Squad: 3-4 children 

The Premiere/Clique/Lobby: 5-6 children 

Larger groups may be available by special request only and require additional space, planning, and custom pricing. 

Are pillows included?

Pillowcases are included and freshly laundered for each event. All bedding is laundered with hypoallergenic detergent. 

Pillow inserts (the actual pillows, themselves) are not included by default for hygienic reasons. 

Can we bring our own pillows?

Yes! Hosts/guests are welcome to bring their own pillows, if preferred. Pillowcases are still provided as part of the package, as they are on-theme. 

Can we purchase pillows with you?

Yes, brand-new pillows are available as a $15 take-home add-on at booking and are the clients to keep after the event.

Do you provide food or drinks?

No. Food and beverages are not provided. 

Concession equipment (such as popcorn machines, hot dog rollers, or drink dispensers) is available for client use only.

Clients are solely responsible for: 

  • Providing all food and beverages 

  • Operating concession equipment with care 

  • Serving and supervising food and drinks  

Vibing Kiwi Events does not supply, prepare, or handle any food or beverages. 

How does the movie play? TV or Projector?

Clients may choose: 

  • Cinema Deluxe Add-On Package—includes projector, 100” screen, sound, setup, calibration, and technical support 

OR 

  • Use of the client’s personal television 

If using Client’s TV, it must:

  • Be located in the setup room 

  • Have an accessible HDMI port 

  • Be fully functional

Clients are responsible for TV functionality before, during, and after the event.

Do you supply the movie?

No. Movies and media are selected and provided by the client. Content may be played via physical media, casted devices, streaming services, or personal accounts. If requested, our Roku streaming device may be used for access; however, clients are responsible for content selection, availability, and any required subscriptions. 

What happens to my information after the event if I opt to use the Roku device?

For privacy and security, all Roku streaming devices are factory reset after each event. This ensures no personal accounts, passwords, or viewing history are saved between bookings. Clients are responsible for logging into any streaming services they wish to use during their event. 

How long does the setup stay at the event location?

Setups are designed for one evening/overnight enjoyment. 

Exact setup and tear-down times will be coordinated in advance and vary by party size and package selection. 

Do you stay during the event?

No. Vibing Kiwi Events provides professional setup and tear-down only. 

Off-site technical support is available if needed. 

How much space is required?

Space needs vary by package size. As a general guideline: 

  • Each tent and mattress requires open floor space (roughly 5’x6’ for each tent) 

  • Additional room is needed for screens, TVs, or projectors 

We are happy to help assess your space during booking. 

Can themes or colors be customized?

Styled decor is included in each package. Specific themes or custom requests may be accommodated depending on availability and planning time. 

What happens if something is damaged?

Clients are responsible for ensuring children and other guests treat rental items with care. 

Pets should not be in contact with rental items during any time or any duration.

Any damage beyond normal wear may result in a replacement or repair fee. 

How far in advance should I book?

Availability is limited, as we are a small business. We recommend booking as early as possible, especially for weekends and special occasions. 

Is a deposit required?

Yes. A non-refundable deposit is required to secure your date. 
Remaining balance and payment details will be provided at booking. 

What if I am not sure which package to choose?

Our packages (especially indoor) typically run in increments/tiers of 2, 4, and 6 guests.

What happens if it rains?

“Call It by Noon” Policy

If rain or unsafe weather is forecasted, we will check in the morning of your event and monitor conditions until around noon.

If needed, you may reschedule once at no additional charge within 90 days (pending availability).

Who decides if we reschedule?

Weather decisions are made collaboratively, but final calls are based on safety, setup conditions, and equipment protection.

Vibing Kiwi Events reserves the right to postpone events if weather conditions are unsafe for setup or equipment use.

Can I reschedule more than once?

We understand that sometimes things happen that are out of our control.

We will work with our clients on a case-by-case basis when it comes to rescheduling and accommodations.
